Edit or archive your loyalty card

For:OwnerAdmin3 min readAll plansUpdated Sep 28, 2026
The owner or an admin does this

As staff you can see the card on the web dashboard, but you can't edit or archive it. Your part happens in the Lola Business app: you scan the customer's QR and the stamp is added.

See: Scan to give a stamp

Adjust your active card without touching what customers have already earned, or archive it to close it to new members and start another. You can also delete drafts you don't use.

When you're done, you'll be able to
  • Change the rewards, the appearance, the validity and the courtesy stamps
  • Know what stays fixed while the card is active
  • Archive the card to start a new one
  • Delete a draft you no longer need

Open your card's editor

In the dashboard menu, click Loyalty Card. Above your active card you’ll find Archive and Edit. Click Edit and the Edit loyalty card panel opens, with the same tabs you used to create it: Basics, Rewards and Appearance.

Change what's still open

While the card is active you can change:

  • Rewards: which reward each visit carries, up to two per visit. The card needs at least one reward to save.
  • Appearance: the colors and the stamp. Reset to original goes back to the Lola design.
  • Card validity: 1, 2 or 3 years, or No expiration. If you shorten it, we ask you to confirm (next step).
  • Courtesy stamps: the ones every new card starts with, always fewer than the total.

Two fields stay fixed

Number of stamps and Terms of use can’t change while the card is active, to protect customers who already started collecting. If you need different values, archive the card and create a new one.

Confirm if you shorten the validity

If you pick a shorter validity than the current one, for example 1 year instead of 3, or any length when it had No expiration, you’ll see Shorten the validity?. Some customers’ cards could expire sooner than they expected, and the Loyalty Program Policy recommends keeping or extending validity, never shortening it.

Click Cancel to leave it as it was, or Shorten anyway if you’re sure. Making it longer doesn’t ask for confirmation.

Tip

If your card predates per-customer validity, you’ll see its fixed date (Expires on … for all customers) and no option selected. Picking one switches it to per-customer validity, and any length asks you to confirm.

Save your changes

Click Save. You’ll see Card updated! and the changes are available to your customers. If something is missing, a message tells you what to check, for example Add at least one reward to the card.

Archive the card to close it

Archiving is how you end a card. Click Archive and confirm in Archive this card?:

  • The card stops accepting new members.
  • Customers who already have it keep earning stamps and redeeming their rewards until they complete it or it expires.
  • It can’t be undone, and an archived card can no longer be edited.

The page then offers Create a loyalty card so you can build the new one, and the old card moves to Archived cards and drafts.

Delete a draft

Archived cards and drafts lists each card with its status, Draft or Archived, and how many stamps and rewards it has. Only drafts have Delete, the red X: they were never published, so there are no customer stamps to protect. Confirm in Delete this draft? and it’s permanently deleted along with its rewards.

Archived cards have no delete button.
